Job Description

1. Administrative Support:
o Handle day-to-day office operations, including answering phone calls, responding to emails, and scheduling appointments.
o Assist in preparing and editing documents, reports, and presentations.
o Organize and maintain files, records, and databases (physical and digital).
2. Customer Service and Communication:
o Greet visitors, clients, or employees and direct them to the appropriate department or individual.
o Provide information about the organization’s services, policies, and procedures.
3. Office Organization:
o Ensure that office supplies (stationery, equipment, etc.) are well-stocked and organized.
o Order office supplies as needed
o Maintain office cleanliness and ensure a tidy work environment.
4. Data Entry and Documentation:
o Input, update, and maintain records in the company’s databases or filing systems.
5. Scheduling and Coordination:
o Assist in scheduling meetings, appointments, or events.
o Organize meeting rooms, arrange necessary equipment, and prepare agendas and meeting materials.
o Order snacks as and when required.
o Coordinate with different departments for scheduling meetings.
6. Mail and Correspondence:
o Sort and distribute incoming mail and packages.
o Prepare outgoing mail, including letters, parcels, and couriers.
7. Other Duties:
o Provide support for projects or special tasks as needed.
o Assist with office or department-specific activities, such as staff onboarding, event planning, or policy implementation.
o Carry out other administrative tasks as assigned by the Department Head.
